Billing & Subscriptions

One page covering everything you pay for: what your Organisation's subscription costs, how many of its seats are taken, when the next payment is due, and your VAT invoices.

Card details never reach us. Subscribing and payment-method changes happen on Stripe's own hosted pages. Productivity Workbench never sees, stores or transmits a card number.

What is billed

A paid plan is bought by an Organisation, and one subscription covers every workspace and studio in it. The Free plan needs no Organisation and no billing at all. The plan is chosen and paid for in the Organisation Hub — see .

There is no trial on a paid plan: the Free plan is how you try the product.

Seat allowance

The subscription shows seats taken against seats paid for. A person takes one seat however many workspaces and studios in the Organisation they belong to.

Every seat taken — nobody already in is locked out, but the next person cannot join until you add a seat. The refusal says so and names Billing & Account.
Reducing seats — you cannot go below the number of people in the Organisation. Remove members first.
Proration — seat changes are prorated. Adding seats mid-period charges only the remaining days; removing them credits the difference against your next invoice. The preview shows the amount before you confirm.

When something needs attention

A banner appears throughout the app — not only on the billing page — whenever a subscription needs a decision. Every message names the action that fixes it.

Payment failed — your access continues while your bank is retried. Updating your payment method resolves it immediately.
Unpaid — after repeated failures, paid features switch off. Your data is never deleted. Updating your payment method restores access.
Price change — if a published price is going to rise, the Organisation's owner is emailed at least 30 days before, and the new price applies from the next billing period after that date.
Cancelled — the subscription runs to the end of the period you have paid for. Then the Organisation is archived and its workspaces and studios return to the Free limits. You can restart the renewal at any point before then.

Moving to Free

Before a cancellation takes effect, Billing & Account shows exactly what changes: each workspace over the Free limit of 20 people and each studio over the Free limit of one, and which paid capabilities switch off. Anything over a limit becomes read-only until it is brought within it. Moving to Free restricts what is available — it never deletes anything, and subscribing again reinstates the same Organisation as it was.

VAT and international customers

The country on your business details determines the tax treatment on every invoice.

United Kingdom — UK VAT at the standard rate.
EU business with a VAT number — invoiced under the reverse charge with no VAT added. The invoice carries the wording required by Article 196 of Council Directive 2006/112/EC.
EU without a VAT number — treated as a consumer sale; VAT is charged at your country's rate.
Rest of the world — outside the scope of UK VAT, stated explicitly on the invoice.

Add your VAT number under Business details so it is validated and applied. Editing your details changes future invoices only — invoices already issued keep the details they were raised with, because they are financial records.

Invoices

Every invoice is downloadable as a PDF carrying our company name, registered address and VAT registration number, your business details, the line items and the tax treatment. It is suitable for your finance team and for reclaiming VAT.
